These terms and conditions apply to all four centres
- The Hirer must confirm the booking by returning a copy of the booking form with their 12 character budget code or invoice address clearly marked. This can be returned by email or fax with “I agree” clearly written. This must be returned within five working days of issue, otherwise the dates may be offered for hire to other parties. For ECC bookings only - If no budget code is known at the time of booking this must be emailed to the centre within the 5 days
- The Hirer, tutors and delegates must adhere to using the room(s) between the times stated on the booking form. Requests for additional room requirements will be subject to availability
- The Hirer is responsible for any loss/damage to furnishings/equipment provided in the room(s) during their event
- Essex County Council (ECC) cannot be held responsible for any loss, damage or injury to persons or property while using any SCF (Schools, Children and Families) Centre or car park, unless as a direct result of the negligence of ECC
- Food and drink must not be brought into the Centre, unless by prior permission of the Manager for a specific dietary requirement
- All notifications of room cancellations will only be deemed to be accepted when received in writing or email
- 20 or more working days notice given - No charge
- 11-19 working days notice given - 50% charge
- 10 or less working days notice - 100% charge
Reduction in rooms booked within these time frames will be treated as cancellation of rooms.
- Final numbers for catering requirements can be made up to 5 working days prior to the event, increase in catering requirements may be able to be actioned after that but any reduction in numbers or cancellations will be charged at the 5 day deadline
- All room bookings must include at least one booking for refreshments, in the interest of delegates’ health and wellbeing
- ECC reserves the right to refuse a booking without giving a reason
- ECC Hirers will be charged directly by Journal Transfer by the SCF Centre concerned. Payment will be required within 7 days of the date of Journal Transfer. Non-ECC Organisers will be invoiced by ECC Finance on instructions received from the Centre, also within 7 days
- The prices quoted are exclusive of VAT if applicable (unless otherwise specified)
- Hirers should be aware that, although notification of price rises will be given, sometimes they are beyond the control of the Centre
- Any non-ECC hirers must have appropriate public liability insurance cover before confirming a booking
