Birth registrations

 

What personal data do we need from you?

For birth registration including stillbirth:

Registration district and sub district of birth

Entry number, date and place of birth

Name and surname

Gender

Name, surname and occupation of father (if recorded)

Name, surname and occupation of mother

Usual address

Name, surname and usual address of the informant (if not the mother or father)

 

For live birth registration:

Age of mother

Age of father or parent (if registered)

No. of previous children

Date of marriage or civil partnership of parents (if appropriate)

Whether the mother had any marriage or civil partnership before that date

 

Who will be using your personal data?

The Data Controller is Essex County Council

The Data Protection Officer for Essex County Council can be contacted at dpo@essex.gov.uk.

 

The General Register Office and Stopford (as a supplier of our systems) are Data Processors supporting this purpose

 

What will it be used for and what gives us the right to ask for it and use it?

To maintain a register of births

Service delivery

Planning and improving registration services

Preventing or detecting of fraud or crime

Research using anonymised personal data.  If we wish to use your identifiable personal data we will seek your permission.

 

If we cannot use your data ECC would be unable to meet our statutory duties.

 

Our legal basis for using your personal data is:

Under a legal obligation, in line with the following legislation:

S1 Births and Deaths Registration Act 1953

Regulation 7 Registration of Births and Deaths Regulations 1987

S1 Population Statistics Act 1938

Necessary for a task in the public interest for employment details only.

 

Who else might we share your data with?

Office of National Statistics

Spanish Authorities (If either parent is a Spanish national)

Police (Only for the purposes of preventing or detecting crime or fraud)

Department of Work and Pensions (Only for the purposes of preventing or detecting crime or fraud)

Children and Families Hub and Essex Social Care Direct (For safeguarding purposes)

 

Will your data be stored in or accessible from countries with no UK-equivalent Privacy Law protections?

No

 

How long will your data be kept?

Your data is kept indefinitely on the register.

  • Your Right to Restrict our processing of your personal data
  • Your Right to Object to how we use your personal data (For employment information only)
